Setting up your Club's Info

Log in first.

If you have an account and password, you should Login. When you are logged in, links marked "edit club data" will appear in the club list and in your club details page.

Permanence

This data appears on the race information sheets and in other places around the website. ( You and/or I will enter it once and then the server uses it many times - if you change it, then the changes are immediately applied elsewhere ) This means that the data in the club info sheet should be relatively permanent. By "permanent", we mean that it should be valid for a large part of the race season, not just for one race. If your phone number changes, you can correct it, of course, but we are looking at data with that kind of longevity. We are not looking for information like captains' meeting times, entry deadlines, or vacation rules because that is specific to a race. We'll get to that later.

Print out what you've got.

At this point, you should go to your club's listing on the Club List and print out your details page as it now stands. Then the following descriptions will make more sense.

Club Contacts:

These refer to the club itself. Race secretary information is further on.
Address: Place the club's address here. Use a return to get a new line in the address.
Phone, Fax: Use parentheses and extensions if necessary (802) 422-6797 x6788

Website sample: www.teamkillington.com

Officers

Head: The club head or the school's headmaster.
Director: The Director of Racing.

Vouchers

Entry method: This is a place for you to tell athletes how you want to receive the vouchers. Mail only, or perhaps Fax Entry, mail check.
Race Secretary: Enter either a name or simply "Race Secretary."
Entry Mailing address: Many clubs have a race secretary who lives elsewhere and wants all of the entries sent to his/her home address. Put that here. If you accept fax entries, put the fax number here, too. With the new "email-by-coaches" entry policy, this should be a lot easier from now on and these notes apply to the single or out-of-state athletes.

Other Notes:

Here is your chance to answer those annoyingly repetitive questions, but you don't have to put anything in here if you don't want to. This should be info that does NOT change from race to race. Things like the location of the special club parking lot, typical changing areas, admonitions to stay out of certain areas the resort would like to keep open, ski patrol and first aid hut location, scoreboard and DQ list location, Bib return location / penalty for not returning bibs, that sort of thing. I couldn't predict what things each club would say, so I gave you plenty of room to post a little or a lot. Suggestion: ask the coaches for all of the questions they are sick of answering.
Smuggler's, for example, says that "Safety Bar rules are enforced - you will lose your ticket."

This field should not have stuff specific to any particular race. You can put that into the FactSheet later. Go to that specific event and click to add a FactSheet. Copy and paste your fact sheet into the form. You can put the warm-up time, team-captains meeting time, inspection notes (side-slip, walk-up), "take down practice courses by 9" or "Since this is MLK jr's Birthday, we need all competitors to move their bags to the basement at 12noon." This information is now linked to the particular race AND it appears in the announcements list.

Logo

Your club logo cannot be changed here. Attach your logo to an email to T.R. Milne or send me a link so I can get it off your website. The dimensions should be approximately square, with no dimension larger than 300 pixels. If you are unsure of how to do that, call and we'll whip one up for you.

Club Code

Your club code also cannot be changed here. If you wish a different code, Julie and I will have to coordinate four different databases. It can be done, but not lightly.

Update

Hit the button marked "Update" to send the changes in. If you are unsure or you change your mind there is a link marked "On second thought, ..." When you get to the details page again, you might have to hit "refresh" to see the new data, as your browser might be showing you the page from its cache instead of getting the new data from the server. If you see a mistake after refreshing, you can simply redo the edit process.
