VARA Race Entry Procedure Guidelines:

VARA member race administrators and Race Organizing Committees are responsible to ensure that all race participant entries and coaches are current members of VARA and USSA. In addition,  alpine officials working the event or on staff need to be VARA members.

  • If race participant membership is not current for USSA, follow USSA membership procedures on-site, if applicable, otherwise race entry is not allowed.
  • If VARA Membership is not current they may join online asap no points will be allotted for scored series until vara membership is current.
  • VARA club-affiliated coaches MUST be USSA and VARA Members in order to have on-hill privileges. Coaches will need to show proof of membership if RA’s have not already confirmed proper memberships.

VARA race administrators need to have current VARA and USSA Memberships.

Please visit USSA East officials’ page for more information.

Race Entries -
The VARA Entry guidelines
All race sites use AdminSkiRacing online registration for VARA events.

Entry Deadlines: Suggested approx. 48 hours before the race, you could still accept entries after this date to fill the race and add late entries to a wait list if the race is already full.  Make sure athletes know that they are on a wait list.

RefundsAny pull after the deadline is not entitled to a refund.  Any refunds after the deadline are issued solely at the discretion of the Race Organizer.

VARA Team: VARA Team Athletes are comped for race entries for VARA/USSA events. The AdminSkiRacing online registration will allow VARA Team members to register without payment. Your race entry procedure for VARA team members for your events should be made clear on the race announcement

Setters and Officials: Setters and Officials (refs) should be selected and notified up to three days before the team captain's meeting before the event.

For all VARA scored races, current VARA Members have priority over out-of-state entries.  This means a race can fill with VARA Members only, and out-of-state entries will have to be turned away. If hosting a Vermont Cup (VC) and the race is filling up before the deadline; the order of priority is as follows VT racers then Out of state. So if you are pulling b/c the race is full then pull in reverse order, out of state, U16 .... Your PROCEDURE MUST be posted on the VARA Website under your race announcement otherwise, all VARA guidelines and procedures will take precedence.

IF YOU DEVIATE FROM THE GUIDELINES FOR AN EVENT – STATE IT EARLY AND CLEARLY DEFINE YOUR PROCESS ON THE RACE INFO PAGE.

US Ski and Snowboard Jr Coach Protocol- Under 18 coaches

US Ski and Snowboard have established the following protocol for “junior coaches”.

  •  Clubs may employ individuals under the age of 18 in a variety of capacities, including as a “junior” coach.  In these instances, clubs must require that junior coaches working with minors do so under the direct supervision of an adult who is registered in one of the above member categories with U.S. Ski & Snowboard.  The junior coach must also register as a general or athlete member of U.S. Ski & Snowboard.
  • Junior coaches can complete a Level 100 Coach Certification program for educational purposes.  However, they will not be listed as a certified coach or able to register a coach membership until they turn 18 years of age and are eligible for criminal background screening.

The protocol is part of the Club Minor Athlete Abuse Prevention Policies which should be distributed very soon. We just received SafeSport’s version about two weeks ago. We’re meeting to finalize our draft this week and will hopefully have that out in the next couple of weeks.

Coaches will want to register ASAP. SafeSport Training takes approximately 90 minutes or so. The SafeSport course instructions are sent to each coach after they register for membership. There was a code that individuals could use before. However, that has been discontinued.

Background screening frequency has moved from every three seasons to every two seasons. So, early registration is key to clubs and event organizers being prepared for the season.
